Regional Vendor Outreach Sessions (VOS)
Chicago, IL July 15, 2009

In response to customer requests, the Illinois Procurement Technical  Assistance Center (PTAC) at the College of DuPage will host the second Department of Homeland Security  Regional Vendor Outreach Session on behalf of the Department in the Chicago, Illinois, area on Wednesday, July  15, 2009 from 9:00 AM to 3:00 PM.  A general session on “how to do business with DHS” will be presented at 8:00 a.m., prior to the start of the counseling sessions.

This event is modeled after our monthly vendor outreach session featuring pre-arranged 15-minute appointments with Department small business specialists and prime contractors.

The purpose of this session is to provide the small business community with a forum to discuss contracting opportunities with representatives from Department offices and prime contractors located throughout the Midwestern United States. A list of counselors (and their specific needs) is provided at the bottom of this page. You should read this information carefully and only schedule appointments with those counselors who are looking for vendors with your qualifications and capabilities.  Please note that we are not looking for information technology (IT) products or services at this event.

Format

All requests for appointments are handled via an electronic appointment scheduling system which is available at http://www.dhsvoms.moriassociates.com. Vendors must be registered in this system in order to schedule appointments. It is recommended that you complete a Registrant Profile in this system prior to July 1, 2009.

The automated system will accept requests for appointments on Wednesday, July 1, 2009, at 12:00 noon (Eastern Time). Attempts to request appointments prior to the specified date/time will not be successful. Be advised that appointments fill very quickly.  We regret we are unable to maintain a wait list.

Appointments are limited to 15 minutes to allow all vendors an equal opportunity to introduce their company. We will host a morning and afternoon session. The first morning appointment starts promptly at 9:00 a.m., with the last appointment beginning at 11:45 a.m. (with a 15-minute break halfway through for the counselors). The afternoon session will start promptly at 1:15 p.m., with the last appointment beginning at 2:45 p.m.

Due to the overwhelming response to the Department's Vendor Outreach Sessions, we regret that we must limit the number of appointments per company to no more than three (3). Due to space limitations, we request that no more than 2 representatives from each company attend.

Scheduling Appointments

To schedule appointments for the Department of Homeland Security’s Vendor Outreach Session (VOS) program:

  1. Prior to Wednesday, July 1st, you should complete a Registrant Profile in the DHS electronic appointment scheduling system at http://www.dhsvoms.moriassociates.com. Vendors must be registered in this system in order to schedule appointments. If you are not currently registered, complete a “Registrant Profile” (follow guidance provided carefully).  Assistance is available via e-mail (send requests to BOTH Mary Ellen Dorsey (maryellen.dorsey@dhs.gov and Wendy Hill wendy.hill@dhs.gov; one of us will get in touch with you).
  2. Once you’ve completed the Registrant Profile, you should review the list of counselors to determine which of them buys what you sell.
  3. Indentify those counselors you wish to meet with.
  4. The electronic scheduling system will accept requests for appointments on Wednesday, July 1, 2009, at 12:00 noon (Eastern Time). The system is timed to the clock at the Naval Observatory, not the time on your watch, computer or clock. Therefore, you need to hit the “refresh” button on your browser until the words “Request Appts” appear in the Status column.  The system will not open BEFORE 12:00 noon Eastern time. 
  5. Be advised that these appointments fill up quickly (you will be competing with small businesses located in the Midwestern United States for a limited number of appointments).
  6. Log into the electronic appointment scheduling system (http://www.dhsvoms.moriassociates.com) just before the time specified above.  Note: be sure to “refresh” your browser (by clicking the “refresh” icon) if you log in before 12:00 noon.  At 12:00 noon (Eastern Time), the words “Request Appts” will pop into the “Status” column.  Once this appears, you should click on this link to select the 3 counselors you wish to meet with. 
  7. You may select up to 3 counselors.  If you are successful, you will receive notification that appointments have been scheduled and an e-mail confirmation listing those appointments will be sent to you.
  8. To expedite check-in at VOS, print a copy of your confirmation notice (which lists your appointment schedule) and bring it with you. 
  9. We regret that we are unable to maintain a wait list.  
  10. Print directions to the Illinois PTAC at the College of DuPage facility.
